Get Together Next Year

I'm starting a new thread for this, to make it more visible. No matter how far in advance we schedule, there will always be somebody so can't make it. We had a similar problem with a family re-union I help organize. How we solved that was to somewhat down grade the event (it was a party, not a re-union) and make it every year at date known in advance. What these meant was there was no pressure to make the Big Event, just come when you can and if can't come this year, come next year. So how about this: we pick a week (say 3rd week in May) and that becomes our annual "Old Friends/New Friends" week. For those of us in North America who come to Germany once a year or every other year, it gives a goal for scheduling vacation, etc. I'm not saying we it's a week long thing, but come around this time and there will (may) be people to meet. And we could even do something like "Odd numbered years in May, Even numbered years in September" to work around those who can't make it in a particular month. I would choose Bamberg for the initial site as we are familiar with it and even if you are going to stay in Forchheim or Eschwo, it's not that big a deal to make Bamberg for a day or two. Plus Bamberg has decent rail links.
